JOIN STATE WORK STUDY!
Do you want to provide financial assistance to Gonzaga University students by stimulating and promoting employment opportunities? Do you want to provide Gonzaga University students, whenever possible, with employment opportunities related to their academic pursuits?
If your answer is YES, then Gonzaga University's Student Employment Office asks for your direct participation in a program designed to set students on a path for future professional success!  In an effort to encourage your involvement in this program, the State of Washington wants to offer you a 65% reimbursement rate for the on-the-job training you would provide. Not only do you save money on wages by being involved in this program, but you also have the opportunity to audition students for future career employment.
Follow These Steps To Join:
  1. Review the SWS Employer Handbook, State's Employer Handbook, which details the intricacies of the program. Contact Melissa Thompson, SWS Program Specialist, at (509) 313-6218 or thompsonm@gonzaga.edu with questions.
  2. If you have decided you would like to participate in the SWS Program, please complete the application forms listed below. Once completed, return the forms to Gonzaga University's Student Employment Office (502 E. Boone Ave. Spokane, WA 99258-0072.)
    1. State Employer Annual Contractand Profile 
    2. State Job Description 
  3. Upon receipt of your completed application, the SWS Program Specialist will review and forward your application to the Higher Education Coordinating Board (HECB) for approval. A welcome letter from the HECB will be sent to you once your contract and job description have been approved. Once you have received your welcome letter from the HECB, contact Gonzaga's SWS Program Specialist to post your job opening.
  4. Gonzaga SWS students will contact you directly regarding their interest in your job posting.
  5. Once you have interviewed and selected a student, ask the student for his/her State Work Study Hire Form. This form tells you when the student can work, how much they can earn in gross pay, and how many hours a week they can work. SWS Hire Forms are accepted on a first-come, first-served basis. SWS spots are limited. Therefore, you will want to get your student's hire form to our office quickly.  We cannot reimburse hours worked without a hire form.
  6. Present your new student employee with their job description and train them on how to carry out their job tasks.
  7. In order for employers to get reimbursed, Washington State Work Study Timesheets must be completed in a timely manner.  Please fill them out twice a month or once a month (depending on your payroll cycle), print one copy for Gonzaga and one copy for your records, sign the timesheet, and mail it to Gonzaga's Student Employment Office.
  8. Reimbursement checks are generated from Washington SWS Time Sheets. To guarantee employer reimbursement, our office must receive error-free SWS Time Sheets within 15 days from the end of your current pay period. If no corrections are needed, you should receive a reimbursement check from the HECB within 3-6 weeks. (Note: the maximum reimbursement amount you can receive is the company's designated reimbursement percentage times the student's gross award amount.)
