iWebfolio FAQ


1 . What is a portfolio?^

A portfolio is a carefully selected collection of artifacts used to show an individual's growth, capabilities, competencies, and experiences. Portfolio artifacts may include: text files, multi-media files, descriptions of experiences, reflections, journal entries, work experience, skills, learning objectives, learning goals and more. A portfolio owner (e.g., student) can create an unlimited number of portfolios that can be organized and displayed according to purpose and / or audience.

2 . How do I get an account for iWebfolio?^

Accounts for iWebfolio will be given out to students of professors that assign an electronic portfolio for class.

Each eligible student will receive a notice through their Gonzaga student email account. This initial notice will include a link to follow to setup an account in iWebfolio. Once your account is set up, you can go to http://www.iwebfolio.com to access the login screen.

3 . How do I insert an image into my portfolio?^

You can copy and paste a picture into the portfolio. To do this, copy the image from another program then paste it into the portfolio while the page is in edit mode.

Or you can insert the image from your iWebfolio file storage space:

  1. Click on the ‘Insert/Edit Image’ icon, it looks like a picture of mountains and a sun.
  2. This will bring up an ‘Image Properties’ window and there will be a button that says ‘Browse Server’, click on that.
  3. When you click on this, it will bring up your storage space in your iWebfolio account. If you have already saved an image as a file in the Files part of your storage space, find the file and then click on the ‘Select’ link next to it on the right hand side.
  4. If the image is not in iWebfolio yet, click on the link at the top of the window that says ‘Add New File’.
  5. Click on the ‘Browse’ button, this will allow you to browse your computer to find the image.
  6. Once you find the image, double click on it and it will populate the File Path.
  7. Then click on the button, ‘Save File(s)’.
  8. Once the file is saved into your storage space, you can click on ‘Select’ next to it which returns you to the Image Properties box.
    - Here is where you can add Alternative Text as well as resize the image: we recommend a width of 200 -400 pixels and a DPI of 72. Click OK.

Be aware, there are no editing options after the image has been added to your portfolio except to resize it.

4 . What is my files storage space in iWebfolio?^

What are ‘Files’?

The ‘Files’ portion of your storage space lists all files you have uploaded into your iWebfolio account. Files are the portfolio artifacts created outside of iWebfolio and are available to attach to a portfolio. Any file that is available in an electronic format may be used as a portfolio artifact. For example, portfolio owners may create a resume in a word processing program and simply attach the existing text file to a portfolio created in iWebfolio. Other examples of electronic files include the various photo formats (jpeg, tiff, pict, etc.), pdf files, audio files and video clips. To attach a file, owners are prompted to browse out to their computer’s hard drive or other storage device in order to capture a copy of the file. That copy is stored within iWebfolio in the owner account’s ‘Files’ tab.

How do I upload new files?

  1. Login to your iWebfolio account at http://www.iwebfolio.com then click on the 'Files' tab across the top of the program.
  2. Click on the 'Add New File

5 . How do I create a link in my portfolio?^

  1. First you need to decide what the text should say that will be the link. If there are directions in your portfolio to create a link designated by brackets [], highlight that text, push your backspace key then insert text appropriate for your link.
  2. Next, highlight the text and click on the link icon in the toolbar within the work space, it looks like a chain link .
  3. This will bring up a Link Info window. Here you can enter a URL if you are linking to a website, or browse to link to a document.
  4. Click on the ‘Browse Server’ button and then select the file to link to from your iWebfolio Files storage space by clicking on the ‘Select” link next to that file/document.
  5. If your file is not already in your Files storage space, click on the ‘Add New File’ link at the top of the window.
  6. In the Browse Server window you can now browse your computer for your file, give it a display name and add a description if you like. Then click the ‘Save File(s)’ button at the bottom of the screen.
  7. Click the ‘Select’ link next to that file to complete the link.

6 . How do I edit the text in my portfolio?^

Editing text within iWebfolio is very similar to most text editing programs you may use, like MicroSoft Word, but fairly limited.

  1. Click on the page (category) within iWebfolio that you would like to edit.
  2. Once you see that page in the main window of your screen, click on the 'Edit' link in the upper, right corner.
  3. Now you are able to add type to the portfolio page within the edit window.
  4. Across the top of the edit window you will see a tool bar that allows you to do the following functions and more
    - You can change the font type, size and color
    - Format your text to bold, italicized or underlined
    - Insert a bulleted list, an image, table or link
    - The source icon will allow you to see the html code that is behind the page
  5. Make sure to save after making all of your edits.

7 . How does a faculty member or facilitator review portfolios?^

To review and provide feedback on a portfolio:

  1. When you have logged into iWebfolio, at the top of the page you will see a tab called ‘Portfolios for Review’. Click on this tab.
  2. To review a portfolio, simply click on the ‘Review’ link next to the portfolio that you would like to view. A new window will open up to display the portfolio. Click on any of the categories included in the portfolio and the links for any attachments to view the attached documents. The documents that are attached will open up in the software that they were created in, (Word, Power Point, Excel etc.)
  3. If you would like to provide feedback for others to view, simply click on the category or attachment that you would like to provide feedback on and then click on the ‘FEEDBACK +’ link that is located in the bottom right-hand corner. *You will only see the feedback option if it was included in the making of the portfolio template.
  4. You will then see a new window open up where you can type in your feedback. The release date will show up with the date that you added feedback. (You can post date feedback if you would like to.)
  5. Choose the feedback type from the drop-down list. If you choose 'Affiliated Reviewers', only other reviewers at GU are able to see the feedback. If you choose 'Private', only the owner of the portfolio will be able to view the feedback. If you choose 'Public', anyone with permission to the portfolio can view your feedback. If you choose 'Public Affiliated', other reviewers at GU and the owner can view your feedback.
  6. You do not need to enter a rating in the Rating field.
  7. If there is a rubric attached to the page/item you will see it in the feedback window, use the drop-down or text box to rate each row within the rubric.
  8. When you have completed entering your feedback click ‘Save’. You will see the words ‘Save Successful!’ when the save has completed.
  9. To view or edit the feedback you have provided, after feedback has been provided for a page you will see a link in the upper right-hand corner within the portfolio titled ‘Feedback’. Click on this link to View, Edit, or Delete the feedback that you have added.
  10. To exit the portfolio, click on the ‘X’ in the browser window or tab that you were using to view the portfolio.

8 . How do I download and save a copy of my portfolio?^

1) Once you log in to your account, click on the ‘Portfolios’ tab.
2) Click ‘View’ next to the portfolio you wish to save.
3) The portfolio will open up in another window.
4) Click on the title of the portfolio listed at the top of the new page that opens up.
5) You will then see the portfolio name listed, the date it was last modified and then a link called Zip File.
6) If you want to save all feedback that was added to the portfolio, click on the radio box to include feedback.
7) Then click on the link called ‘Zip File’. This will bring up a window that will ask you if you want to open or save this file. (NOTE: You are saving the file in a compressed format. There is not an option to change this.)
8) Choose to save the file.

9 . How do I share my portfolio online?^

Every iWebfolio owner account has a public portfolio website and you can make one or more of your portfolios public by following the steps listed below. By following these steps, your portfolio(s) can be placed on your Public Portfolio website and then the URL can be shared with those that you would like to view your portfolio.

1) Click on the ‘Portfolios’ tab at the top of the page once you log into your iWebfolio account.
2) Click on the ‘Edit’ link next to the portfolio that you would like to make Public.
3) Click on the ‘General’ sub-tab within iWebfolio.
4) You will see a check box in the Overview area called ‘Public Portfolio’. Check this box and then click on the ‘Save’ button. You will see a web address (URL) show up on the screen next to the Public Portfolio check box. You can now simply give out this URL to anyone you would like to view your portfolio.
5) At any time, you can come into the General tab and turn this function on or off. If you click on the check box to uncheck the box and click on the ‘Save’ button again.

10 . How do I share my portfolio with someone by email?^

A Custom Reviewer is someone outside of Gonzaga with whom you wish to share your portfolio. Custom reviewers can include family members, friends, potential employers, etc. Anyone who has an email address can be added as a Custom Reviewer.

1) Once you log in to your iWebfolio account, click on the ‘Portfolios’ tab at the top of the page.
2) Click ‘Edit’ next to the portfolio you wish to add a Custom Reviewer(s) to.
3) Click the ‘Permissions’ tab. The top of the screen will show you ‘Current Permissions’, that is, those who already have permission to view the portfolio you are editing. If you want to remove permission for someone who currently has permission to your portfolio, simply click ‘Remove’ to the right of the name you wish to remove.
4) To add a Custom Reviewer, select ‘Custom Reviewer’ from the ‘Permissions’ drop-down.
5) Click ‘Add Custom Reviewer’.
6) A pop up form will be displayed. Complete the requested form and click ‘Save’. All required fields are marked with an ‘*’.
7) The Custom Reviewer will be added to your list, but permission will not yet be given. To give permission to the portfolio you are editing, click ‘Give Permission’ to the right of the name of the Custom Reviewer. A pop up form will be displayed allowing you to set an expiration date and/or limit the number of times the Custom Reviewer may access your portfolio.
8) Click ‘Send email’ to send an email to the Custom Reviewer. The email will contain a link to view your portfolio. If at any time you wish to remove permission to the Custom Reviewer, the link in the email will become invalid and the Custom Reviewer will no longer be able to view the portfolio. In order to grant the Custom Reviewer access again, you must send another email to them by clicking ‘Give Permission’ next to their name and following the steps above again.
