Tabling Policy

Description and Purpose

The Crosby Student Center offers table and chair rental services for use in designated locations both inside and outside the building.  This service, commonly refer to as "Tabling" is offered primarily as a way for internal clubs, organizations and departments to promote an event or program, fundraise, raise awareness or recruit.

This service is also available to outside vendors and organizations provided that they have met certain stipulations.  Please see below for more information.

Policies and Procedures

The policies and procedures for "Tabling at Crosby" vary depending on the type of group, club or organization.  Please see below for more information:

1)      Student Organizations, Student Clubs and Student Interest Groups

Step 1) All Student Club/Org/Group events (including tabling at Crosby) must be pre-approved by the Student Activities office.  Clubs can submit tabling and all other events for approval through the ZagTivities website. 

* Please Note: Student Clubs/Orgs are not permitted to reserve a table for use by any other group.  A member of the club/org that requested the table must be present at all times while tabling and the nature of the tabling must directly benefit that club/org.  If partnering with another group, please see the "Partnerships" section below for more information.

2)      GU Departments and groups that are affiliated with a GU Department (i.e. CCASL, Academic Departments, UMEC ...etc)

Groups/Programs that are directly affiliated with a GU department or office DO NOT need to have their events pre-approved by the Student Activities office.  These groups/programs must simply submit a reservation request for a table and chairs from the Crosby Information desk. * Please Note: Groups/Programs that are directly affiliated with a GU department are not permitted to reserve a table for use by any other group.  A member of the group that requested the table must be present at all times while tabling and the nature of the tabling must directly benefit that group.  If partnering with another group, please see the "Partnerships" section below for more information.

3)      Outside Vendors and all Organizations NOT affiliated with GU

All Vendors and Organizations that are not affiliated with Gonzaga University must complete the steps below before being granted approval to "Table" at the Crosby Student Center.  Partnering with a GU club, organization or department DOES NOT necessarily grant a vendor/organization exemption from this process.  Additionally, priority will be given to requests that serve, and are offered by, the Gonzaga community and most especially our students. Gonzaga is a private university and therefore private property.  Gonzaga University reserves the right to deny any tabling request or remove anyone from tabling at any time.

PLEASE NOTE: Tabling requests from outside vendors must be submitted within 3 months of the requested tabling date. Requests that are submitted more than 3 months in advance will not be considered.  Reservations will be assigned on a first-come, first-served basis and the Crosby Management will make every effort to avoid scheduling vendors with similar products/services at the same time.

Step 1) Submit a reservation request for a table and chairs to the Crosby Information desk. The reservation request form can be found by clicking here: Crosby Table/Chair Request Form

Step 2) If the nature of the tabling request is not contradictory to the GU mission and otherwise deemed acceptable by the Crosby management, a "Vendor Agreement" will be sent to the Vendor/Organization to be reviewed and signed.

Step 3) Payment - Outside Vendors and Organizations will be charged a tabling fee of $25 per day.  Payment options and instructions will be sent after the Vendor Agreement has been signed.

4)      Partnerships

If a Gonzaga affiliated club/org/department wishes to table as a part of a partnership or collaboration with a non-GU affiliated organization, the GU affiliated club/org/department should first submit a Crosby Table/Chair Request Form to the Crosby Info Desk.  The form should be submitted with a description of the partnership. Depending on the nature of the partnership, it may be necessary for the non-GU affiliated organization to then submit a vendor agreement and pay a tabling fee.*
