Staff Assembly Executive Council Minutes

May 7, 2003

PCR

Members Present: Cathy Perry, Kim Gieber, Lisa Smythe-Rodino and Janice Resch from the Compensation Committee, Marcia Bertholf, Krystal Burns, Anne Thomas, Mary Beth Charleboix, Trevor Wertemberger, Theresa Castillo, Mike Casey

Called to order at 12:10 p.m.

Old Business

No minutes to approve.

Heads Up Gonzaga Update

Joe Albert will be the key speaker.  The committee met with him last week and he had several good ideas for the program.  Program agendas are in the works.  Main set up will be in the Martin Centre with tables and chairs set up on the Kennel floor.  Fr. Cook will conduct the prayer.  Breakout sessions will take place in the COG, and people will get their number as part of their program.  The committee will be brainstorming who to have as facilitators and recorders.  Need around 50 as we will have around 25 breakout groups.  The current and new Staff Assembly reps will do some of this, but we need to find more people to volunteer and help out.

There was a concern from Ken Sammons in Plant about the timing of this event.  Plant has several things going on the week of this event and Ken was concerned that employees from Plant would not be able to attend.  The committee explained to him how we came up with the date and that we were also under a time crunch.  In the future, the committee will make sure to have someone from Plant sit on the committee to bring up these concerns from the get go.

Committee will be meeting with Joe Albert tomorrow to go over details and the final preparations.

Staff Satisfaction Survey

There have been some comments made to SAEC members about the demographic questions on the survey.  Some employees felt that if they answered the questions, it would be obvious who the survey was from based on their answers (especially those from small departments).  The SAEC members were reminded that those questions were OPTIONAL and that they should reiterate this to employees who come to them with comments.

Compensation Survey

Lisa reported that of the 586 surveys sent out, the Compensation Committee had received 299 back so far.  So far, 63% are from employees who have been employed at GU for 5+ years.  The Committee hopes to have the results compiled by the Staff Assembly fall meeting.

Picnic Committee

Marcia let the Executive Council know that the Picnic Committee is in full planning mode.  BUT, they need male input.  There is only 1 male on the committee and we need more input from this group.  Trevor volunteered to help, under extreme duress.  Next meeting will be next week.

New Business

Outreach Committee

Marcia asked for ideas for the Staff Assembly newsletter.  So far the new Staff Assembly members will be highlighted, as well as more info on the Staff/Faculty Picnic.  Raymond asked to include a spot about their Diversity Survey as well.  Any other ideas should be emailed to Marcia Bertholf or Sandra Boyd.

Diversity Survey – Raymond, Vicki and Tricia

Raymond informed the Council that they had received a low response on the diversity survey pilot group.  They are looking to do small focus group discussions in late May/early June.  Raymond wants to collaborate with the Strategic Leadership Program currently in place for supervisors.  He asked for comments from the Council regarding the survey and had the members take it again.  One suggestion was to give the survey to the focus groups, have them take it in 3 mins or so and then have a discussion about it.  That way they would answer the questions with their gut instinct and then could discuss those questions that they might have answered ‘it depends’ on as opposed to a true/false answer.  Raymond will try to get results of these focus groups by the fall meeting of the Staff Assembly.

Committee minutes

Kim passed out minutes from the recent Budget Committee meeting.  Marcia passed out a report from our Safety Rep, Sandra Bogdanski.

Scheduling of future meetings

Next meeting will be held on May 28, 2003.  Future meetings will be held each Wednesday in the 1898 Room from 12-1 p.m.  Since this is the lunch hour, please feel free to bring your lunch.  All SAEC members will be notified if there is a change to this recurring meeting.

By virtue of the bylaws, all Staff Assembly meetings are open unless otherwise designated by the Executive Council.  Everyone is welcome to attend.
