SAEC Meeting Minutes

September 22, 2009

Members present:  William, Tim, Marcia, Krystal, Kim G., Angela, Rodolfo, Ann, Roberta, Cathy, Bill, Connie, Eric

Minutes for September 8 approved as amended.

Old Business.

  • Staff-L.  No updates
  • Staff Matters
    • Flyer
      • Add "Do you have any questions?"
      • Add invitation to regular meetings
    • Roberta:  Spirit blurb
      • Spirit article won't have as much room as all the info in the flyer.
    • 6 Teams.  Make sure you are on one of them
    • Divide up.  Waiting on the new directory to update the list.

New Business.

  • Mission award plaque updated
    • Mike Tobin said he would continue getting the plaques printed and put on the big plaque.
    • Nomination forms for fall awards are being distributed.
  • Fall Open meeting
    • A team of organizers

o   "CARES" roll-out

  • CARES - Structure.  Logically housed in the Service Committee.  It rests naturally here.  Might need some initial guidance from people who have been involved for a while.  Rodolfo and William?
    • Final proposal.  Roberta would like a copy to give to Steve Hess.
  • Marcia:  Fair labor act and volunteering time.  Hourly employees (non-exempt) are not allowed to volunteer "after hours" or they have to be paid?  Researching to see how this effects SA members volunteering for various events like the picnic. Need clarification.
    • Cathy D - if it is "work related?", it has to be paid or comp time taken in the same week.  Something already on the books that has been abused.
    • If you are on campus and you get hurt are you covered? Is the university liable? Only if you are working or it is work related?
    • If you "volunteer" (i.e. for the picnic) should you be paid?  If so, who's budget?  Same as regular SAEC meetings?
    • We are going to try to find specific directives as it relates to SAEC volunteering for various events.
    • Departments should fund employees' personal development.  Volunteering is a part of that.
    • Action items:  Marcia is going to get clarification.

 

  • Conversations:  Roberta makes motion that SAEC contact Fr. Hess and volunteer to assist with distribution just the current issue of Conversations.  If needed.

  • Krystal Burns.  October social will be in Magnuson Theater, October 14, 2:00-3:00 p.m. 
    • Talks?
      • Maybe we can get some of our campus visits in before this social - to stimulate conversation.
      • CARES. 
    • Volunteers?
    • Late one same day at 8:10 p.m.
    • Marcia's would be on the 8th 7:10 a.m.
    • Next round not until February.
  • Krystal:  CARES booklet needs to be updated.  (Hand out at employee orientation).  For all employees or just for new people?  Depends on the cost.  Can we find out?  Originally printed 4 years ago. 
    • Update website and only hard copies for new employees.  Need about 20 per month. 
    • Might be worth it to see cost difference if we print enough for everyone
    • What needs to be updated?
      • New contacts for Benefits
      • Cashnet, Bulldog Bucks
      • Bring suggested revisions to next meeting so EC can look at it.
      • Look at current version on website.  Suggest any changes.
