SAEC Meeting
August 25, 2009
Members present: Rodolfo, Marcia, Karen, Bill, Connie, Roberta, Ann, Angela
Minutes from July 28 meeting approved.
Campus Visits
- Council people visiting offices, say "hello", introduce ourselves, say "we're active, thinking about you", drop off pink page of info, informal visit
- Team up with someone; Officers +1, additional 2, 6 teams of two people each
- List of offices divided into six
- Over the course of the semester
- Rodolfo. Can we have a theme for the year? For example "Staff Matters".....A way to draw things together, start conversation, use Morning Mail, (Yes, on the theme)
- Roberta -An article in the Spirit?
- Ann - Fall open meeting?
- How to manage the staff list serve
- Marcia and Angela connected with Pete Hanlon re managing the list. Marcia is default filter person (gate-keeper), the only one who can post to the list serve.
- What do we want the list for and who should be the gatekeeper? Guidelines for use - what messages are appropriate?
- Angela talked Pete into letting both she (as secretary) and Marcia be gatekeepers/posters, etc That is how it remains.
- We need to decide what it is for and who the gatekeepers should be?
- How is the list updated?
- As an IT ticket (HR needs to request it)? Ongoing.
- "Wipe off/ Wipe on" for initial update
- Get a list from HR and do it ourselves?
- At next meeting have someone from Community Outreach. Proposal - Have someone from Outreach be main gatekeeper and secretary be the backup. Review minutes that describe process for posting minutes to staff-l

Retreat Review
- We need to review notes and give help to those who asked for it
- Angela will review Connie's notes with her flip-charts. See if anything needs to be added
- She will contact those who asked for help and let them know we are reviewing info and will get back to them soon
- Many people are having challenges and don't feel supported
- Several people mentioned they want to get to get involved and learn more about the campus
- Bill: His favorite part was when we went around the table and people shared......lots of passion as well as angst.
- Connie's notes will not be disseminated beyond SAEC but Angela and Rodolfo will get together to make some bullet points to let people know we heard them, including action items.

New business.

- Steve Hess wants to come to a meeting and explain his role.
- Question came to her re pandemic planning for Swine flu. Staff directors, supervisors are coming up with essential personnel list. What if, because of flu, hourly (non-exempt) staff have to miss work because of social distancing? Is there a plan for them? Should someone from risk management come and give us an update? We should invite Dan Berryman to come

- Shonna Bartlett; Sent her an email thanking her for flowers
- Came from IMPACT group, Raymond Reyes office. Angela passed email on to Rodolfo.
