Staff Assembly Executive Council
Tuesday, 6/9/09; 1:30 p.m., Road to Utopia at Crosby

Called to order at 1:33 pm. Adjourned at 2:48pm.
Minutes Approval: 5/25/09
The last sentence on the Spring Open Meeting Review section should include, "are being distributed by" . Marcia moved, William seconded. Unanimous approval.
Motivations and Interests
From the various council members: "Connected to initiation of Staff Assembly and want to help with continued success. Increase participation in the community. Be at the table where significant university decisions are made. Help make this a great place to work. Foster Peer Advisor program. Facilitate staff connections, and faculty-staff connections. Cares Initiative going live. Find more ways to be connected in the community. Worked here for a while, and feel it's time to get involved."
Council Meetings
Timing and frequency of meetings was discussed. The group agreed to 10:30-11:30am, the 2nd and 4th Tuesday each month. Tim motioned, Ann seconded. Unanimous agreement.
Summer Retreat
The value of the retreat is a good overview for new people, and a chance to get going sooner. Committees can get guidance. Volunteers: Erik, Bill, William, Marcia, Karen, Angela.
Budget
The Staff Assembly budget is the same as funded last year.
Getting the Council Out into the Community
Bill suggested an officer and a council member get out for 15 or 20 minutes once a month to make visits to offices on campus, introduce ourselves, and leave a handout of a list of the people involved. It has been suggested that a Staff Assembly table be available at the picnic on July 29, and the picnic committee plans to invite council members to be available in half-hour shifts to answer questions and promote Staff Assembly as the host of the picnic. Tim suggested better council attendance and promotion of the monthly socials. Marcia and Tim host the early social in Plant. William and Angela host the late socials. Krystal Burns and select Outreach Committee members host the afternoon. Targeted promotion might be helpful. Roberta offered promoting the activities this month to the supervisors list.
Winter Break Proposal
Bill and Marcia are on the Winter Break committee, which met last week to talk about the potential for the proposal to be resubmitted and to review what new information surfaced in the proposal being considered by Fr. Spitzer. For example, we learned that staff salaries cost $100,000 per day. Twenty-six out of 28 Jesuit schools in the USA offer some kind of close down over the holiday time. There are models out there working for the areas of the university where that time of year poses a critical business need.
Janelle cannot attend the July Board of Regents meeting due to her daughter getting married. The council made a recommendation to Fr. Spitzer for the second representative which we have yet to receive an answer, but is being considered by Thayne. The duration of the commitment is June 30 in year 1 to July 1 in year 2. Our recommendation didn't get to Fr. Spitzer in time to be considered by the Board of Regents in April. We need to establish a process in the future to be sure we submit names in a timely fashion.
Picnic Update
The Staff Assembly picnic is Wednesday, July 29, 4-8pm in the grassy area between the Martin Center and McCarthey.
Next meeting: June 23, 10:30-11:30.
