Attendance
Present: William Gibson, Bill Kostelec, Jill Wilkinson, Angela Ruff, Kim Gieber, Ann Price, Connie Hickman, Marcia Bertholf

Absent:  Karen Franks-Harding, Mike Tobin, Tim Woodard

Minutes Approval
Marcia motioned that the minutes from 11/25/08 be approved as submitted.  Kim seconded.  Approval unanimous.

Budget Report
No changes, per Jill.  She asked that a budget report be required only once a month.  The group agreed.

Cares Initiative
Janelle identified some new ideas that surfaced from the community, such as an ability to donate vacation hours and extending service and volunteer opportunities to faculty.  Resources for promoting awareness could be the Peer Advisors, building safety representatives, and other Staff Assembly communication vehicles (website, listserv).    We want Fr. Spitzer's endorsement before engaging the community.   

Heads Up Gonzaga Event
Marcia is awaiting a proposed date from Fr. Spitzer's office in late February or early April for the half-day event.  March isn't a possibility.  The committee is currently reviewing the highs and lows of past events for ideas.  Special recognition of Fr. Spitzer is under consideration.   Cares Initiative may be featured.  A topic focus will be decided in January - something mission-oriented that highlights what is important to the university. 

Dan Berryman Meeting
Dan requested a meeting with Bill and William to discuss Staff Assembly goals, which will take place on December 10. 

Fall Open Meeting
Ann distributed a printout from Molly Pepper, responding to questions that surfaced from attendees at the event.  She asked that we provide to the staff community via the listserv.  The group agreed.

Spring Open Meeting
Event is set for Wednesday, May 20, 2009 from 8:30-10am, with breakfast items available at 8am.   Two mission awards will be granted.  Council and committee members will be transitioned.     Committee is progressing.

Plant Services Event Attendance Guidelines
One of William's core values is participation from the community, and so word that a set of guidelines was being developed in plant  for those employees to participate caught special attention and was discussed at the 9/23/08 council meeting.  Ken Sammons noticed reference to the discussion in the minutes, wrote an email to the staff assembly address to clarify that he and Gretchen were in the process of developing  event/activity attendance guidelines, and he provided a draft of the documents.  Krystal received the message, as the point of contact for the Community Outreach Committee, and she forwarded it to the officers (William, Bill, Jill, and Angela).  On behalf of the officers, Angela wrote to Ken to clarify that Fall and Spring Open meetings are "all-staff" meetings.  William stated that Ken made a presentation at a recent employee appreciation meeting as to the guidelines, and the time-off sheets have been revised to accommodate event attendance, indicating the guidelines have been activated.  

Next Meeting: January 13, 2009 (12/23 meeting has been cancelled).  This will be a tough day for the academic department staff members, so Kim and Connie may not be able to attend.
