January 13, 2009 Minutes
In attendance: Bertholf, Marcia; Franks-Harding, Karen; Gibson, William; Kostelec, William; Pagsanjan, Rodolfo; Price, Ann; Wilkinson, Jill; Woodard, Timothy and Budget Committee Members Robin Guevara and Gayle Snyder

Meeting opened at 1:39.
Old Business
- Minutes from 12/09/08 meeting were not approved today, moved to next council meeting of 1/27/09.
- Taxable Donations Process - Treasurer reported that a recipient of the recent Mission Award wanted to donate their $100 worth of gift cards to charity. A new form from the Payroll office has been approved so that a person can decline the gift and request that it be donated to a charity. It is at the discretion of the Staff Assembly treasurer whether to uphold the employees request, give the money back to the University, or donate the funds to another organization. If a recipient accepts the gift, they pay income tax. If they decline the gift and suggest where the money is to be donated, they will not be taxed.
- Fr. Spitzer Meeting Results - SA President and Secretary met with Fr Spitzer on 12/16. Fr Spitzer agrees with the idea of the mission-based CARES Initiative and has offered to fund the program when the proposal comes through. The Winter Break Proposal was also discussed and Fr. Spitzer cited costs and the current economy made the proposal unacceptable to bring to his board at this time. He suggests that it probably could be brought up again with his successor with more information on how it could be more inclusive of the entire community.
- CARES Initiative Status - Rodolfo will call a meeting with the CARES team and William and Marcia to work on next steps. In light of Fr. Spitzer's offer Robin Guevara, Ann Price, Karen Franks-Harding, Jill Wilkinson and Marcia Bertholf will be working on a rough draft of a budget proposal due to the council by 1/27. The hope is that the Initiative will be made ready for the upcoming Heads Up Gonzaga.
- Staff Socials - Next scheduled Social will be in February. The monthly custodial socials will be this Wednesday evening & Thursday morning.
- Heads Up Gonzaga - Planning committee will convene again next week.
- Spring Open Meeting - No new information at this time
New Business
- Staff Communication - It was brought up at council that at yesterday's Spring Faculty Conference information presented to faculty that impacted staff and that staff has not as yet been informed. William will be working with the liaison on this issue. Council discussed the need to be a part of the orientations because this is the best opportunity to share information that impacts the whole community. William will also be contacting the Faculty President to help facilitate communication for staff and faculty.
