Basic Questions


1 . Why are we switching from Google to Microsoft 365?^

By transferring the student and alumni email service to Microsoft’s new cloud-based solution verses an on-premise one- the savings to the university are substantial. Most importantly, this change in the service facilitates a more integrated environment that supports better communication and collaboration for the Gonzaga community.

2 . Why is this change happening in the middle of the academic year?^

The sooner we can make the change, the sooner we can establish building collaborative relationships. This will allow GU to improve overall communications processes and establish a solid platform to effectively manage the future.

3 . Will my email address change?^

No, you will keep your existing email address.

4 . Will my password change?^

No, your password will stay the same.

5 . How will I login?^

-       Enter your FULL email address, including @zagmail.gonzaga.edu. 

-       Enter your password

6 . What is Office 365?^

It is a cloud-based service, meaning that university data will be stored off campus property, at data centers owned and managed by Microsoft. While Microsoft does offer an option for a premises-based/cloud based setup, it would have come with significant additional costs, so the university has decided to pursue the 100% cloud-based solution. 7 . What is included in Office 365?^

Office 365 includes a number of online services with which many campus students and employees are already familiar, including Exchange Online (Outlook Web App), Office Web Apps (online versions of Word, Excel, PowerPoint, and OneNote), OneDrive, SharePoint Online, and Lync Online. In order to meet campus objectives in an expedient manner, however, the implementation led by the Information Technology Services (ITS) department will not include all of these services in the initial rollout. Since the goal of the team is to deploy the campus email & calendaring solution (Exchange Online), they will only include additional services and features of Office 365 that are critical to enabling Exchange Online to meet campus needs. This includes Outlook Web App, the browser-based version of Outlook and OneDrive, Microsoft's document storage service. 

8 . What are the benefits of using Office 365 for email and calendaring?^

The Office 365 email & calendaring solution provides business-class email, calendar and contacts to a user's computer, phone and web browser. Delivered as a hosted service from Microsoft, it offers a high standard of physical and digital security for your information while providing the control you want and the reliability your business needs. Office 365 runs your email on Microsoft's globally-redundant servers protected by built-in antivirus and anti-spam filters. See this video tour for an overview.

9 . What does “cloud computing,” “cloud- based” and “in the cloud” mean?^

Cloud computing or “in the cloud”, means that a third-party (in this case, Microsoft) provides an application, data and services via the Internet and stores the data on their servers. Cloud computing is designed to deliver on-demand computing power, storage, and services from the Internet cloud.  Cloud computing is simply this: the same stuff you do with your computer, such as office tasks or storing files, except done online. The term ‘cloud computing' comes from the visual image of a cloud of data that floats out on the Internet, and which can be accessed from anywhere there's an Internet connection, on any computing device.

10 . How will I change my password in the new system?^

Passwords will continue to be changed in the same manner currently used. 

11 . I check my mail using my iPhone/iPad. Will that work with the new system?^

Yes, but you may have to enter some new server information for the device to find your mailbox in its new location. We’ll update our website (www.gonzaga.edu/its) with this information when it is available.

12 . Will the emails in my account be moved over to Office 365?^

Yes, all email in your account during the migration window will be brought over to Office 365. 

13 . Will my contacts, notes, document, etc. be transferred?^

Your documents will be transferred through a self-managed process (using the Google utility, Take Out) over a 2 month period after E-mail is migrated. “Take Out” will allow files to be migrated as a bundle with multiple formats available (Word, Excel, PP). You Tube videos as well as written procedures will be provided to facilitate and guide students on this process.

14 . Will I experience any limitations with email on Office 365?^

Your account is limited to 25GB and the maximum size for an attachment (sending or receiving) is 25MB. Max number of recipients per message is 500 and the maximum number of recipients per day is 10,000.

15 . How will Office 365 mail work with my mobile devices?^

There will be no change in the way Office 365 mail (Outlook) works with mobile devices. Some configuration may be required which depends on your carrier.
